JOB IS IN ENGLISH - NO CHINESE LANGUAGE REQUIREMENTS

Seeking a reliable, detail-oriented Administrative Assistant to join our property management office. Fluency in English is required. This is a part-time position (3–4 days per week), ideal for someone who enjoys a mix of office administration, tenant communication, and coordination. Must be able to work in a fast-paced environment.

Located in Vancouver's West End. Ideal for someone who lives close by.

 

--Key Responsibilities:

*Tenant communication: First point of contact for inquiries, maintenance requests, and general questions

*Email management: Check shared inbox at the start of each shift and throughout the day; respond, forward, and route messages appropriately

*Teams communication: Post updates for accounting, share tenant notices, and communicate with team members as needed

*Documentation and filing: Scan, save, and organize documents in digital folders (OneDrive), maintain physical binders, and update tenant records

*Beginning/end of month tasks: Upload incoming and outgoing tenant files and distribute to appropriate staff

*Rent and invoicing support: Assist with tracking vendor invoices and accounts receivable tasks

*Property marketing: Update rental listings and manage advertisements for available suites

*Move-ins/move-outs: Assist with scheduling, documentation, and digital filing of inspection reports

*Administrative support: Draft letters, complete forms, prepare rental increase notices, and support general office needs

*Property management software support (training provided): Enter tenant information, assist with move-ins/move-outs, upload expenses, update suite details, and maintain data for the tenant portal

*Record keeping: Maintain logs of delivered notices as required for documentation

 

Qualifications:

*Minimum 1 year of administrative or customer service experience (property management experience is an asset)

*Strong computer skills, including Microsoft Office and digital filing systems

*Excellent written and verbal English communication skills

*Highly organized with strong attention to detail

*Ability to handle multiple tasks and meet deadlines

*Experience with property management software (eg, Yardi) is a plus but not required

 

--Schedule & Compensation:

Part-time, 3–4 days per week

Hourly wage based on experience

Onsite position in Vancouver
